Deskripsi pekerjaan

Your Role in this Journey:

  • Develop and execute a centralized purchasing strategy across all Bfriends business units: Cafe, Climbing Outdoor, Fitness/Gym, Spa, Beauty Treatment (Facial, Hair & Nails), Yoga, Barre & Pilates, and Muaythai & Boxing.

  • Source, evaluate, and negotiate with suppliers to ensure optimal pricing, quality, and delivery terms for each unit; obtain at least 3 comparable quotations for purchases above the value limit set by management.

  • Maintain optimal inventory levels for all consumables, equipment, and supplies to prevent stockouts or overstocking, using par levels, reorder points, safety stock, and FIFO/FEFO (first-expired-first-out).

  • Establish and maintain strong relationships with vendors, including local farms and F&B suppliers (cafe), climbing gear suppliers, fitness and combat-sports equipment providers (weights, gloves, pads, heavy bags), mind-body studio suppliers (mats, props, pilates and barre equipment), spa product brands, and beauty product distributors.

  • Maintain an Approved Supplier List (ASL) and a supplier scorecard (price, quality, on-time delivery, responsiveness, compliance); recommend adding or removing suppliers based on performance.

  • Ensure all purchased products meet safety, hygiene, and quality standards specific to each industry (e.g., food safety/HACCP and halal where relevant, BPOM-registered cosmetic and spa products, fitness equipment certifications, UIAA/CE-rated climbing safety gear).

  • Maintain an equipment and asset register (purchase date, supplier, warranty, inspection schedule, replacement date), especially for safety-critical gear (ropes, harnesses, carabiners, helmets, belay devices); coordinate inspections, repairs, and retirement of worn equipment with unit managers.

  • Control the purchasing process end to end (purchase request > approval > purchase order > goods receipt > invoice), keep records for three-way matching (PO, delivery receipt, invoice), and coordinate with Finance for timely payments.

  • Monitor market trends, seasonal demand, and new product opportunities to recommend cost-saving or revenue-enhancing purchases, including cafe menu ingredients, retail products, and new treatment or class equipment.

  • Implement and maintain a purchasing and inventory system (ERP or spreadsheet-based) to track spending, usage patterns, and reorder points.

  • Coordinate with unit managers to forecast demand based on class schedules (yoga, barre, pilates, muaythai, boxing), climbing session bookings, treatment bookings, seasonal traffic, events, and promotional campaigns.

  • Manage the purchasing budget and report monthly on cost variances, savings achieved, wastage/expired stock, and supplier performance.

  • Support sustainability initiatives by sourcing eco-friendly products, reducing packaging waste, and consolidating deliveries where possible.

  • Support the preparation and supply of new units, new treatments or classes, events, and promotions.

Who We’re Excited to Meet:

Required Skills:

  • Multi-category purchasing experience across F&B, fitness and combat-sports equipment, beauty products, spa supplies, and safety gear.

  • Negotiation and vendor management: ability to secure favorable pricing, payment terms, and delivery schedules.

  • Inventory management: understanding of reorder points, safety stock, FIFO/FEFO, par levels, and stock counts.

  • Basic accounting and numeracy: ability to track budgets, calculate cost per unit, and identify variances.

  • Attention to detail: verifying product specifications, expiry dates, and delivery accuracy.

  • Organizational and time management: handling 7 different business units simultaneously.

  • Communication skills: clear coordination with suppliers, unit managers, and the finance team.

  • Problem-solving: handling urgent shortages, delivery delays, or quality complaints.

  • Integrity and a service mindset: transparent dealings with vendors, and respect for the approval process.

  • Proficiency in spreadsheets (Excel, Google Sheets) or basic purchasing/ERP software.

Preferred Qualification:

  • Minimum high school diploma or equivalent; a diploma or bachelor's degree in Supply Chain Management, Business Administration, Logistics, or a related field is preferred.

  • Minimum 2–3 years of experience in purchasing, procurement, or inventory management.

  • Proven purchasing experience in at least two of the following industries: F&B/cafes, fitness/combat sports, spa, beauty (facial, hair, or nails), yoga/Pilates studios, or adventure sports (e.g., climbing).

  • Basic proficiency in Microsoft Excel or Google Sheets, including pivot tables and basic formulas.

  • Good spoken and written English and the local language.

  • Willingness to work on-site in Kerobokan and remain flexible to accommodate weekend work or urgent operational needs.

  • Certification in Procurement, Supply Chain Management, or an equivalent field.

  • Experience using purchasing, ERP, or inventory management software.

  • Experience working in a multi-outlet hospitality, wellness, or leisure business.

  • Proven negotiation skills with local farmers, distributors, and importers.

  • Knowledge of food safety standards (HACCP), cosmetic regulations (BPOM), and fitness/climbing equipment safety standards (UIAA/CE).

  • Familiarity with sustainability practices, including eco-friendly product sourcing and packaging waste reduction.
