Regulatory Specialist

Job Description

1. Handle BPOM MD/ML product registrations, renewals, and amendments for Huabao, including preparing documentation and liaising with BPOM.

2. Review product labels, formulations, claims, and product information to ensure compliance with applicable regulations.

3. Manage halal certification applications and maintenance for Huabao, including monitoring the completeness of raw material, supplier, and product documentation.

4. Handle SMKPO registration and support its implementation at Huabao’s warehouse.

5. Review raw material specifications and quality documentation from Huabao’s suppliers, including local cocoa suppliers.

6. Prepare and update raw material standards, finished product specifications, COAs, MSDSs/SDSs, and technical documents to support the Sales team and customers.

7. Prepare regulatory statements and respond to customer inquiries regarding regulations, product composition, safety, and compliance.

8. Handle customer complaints for Huabao in coordination with relevant departments, including documentation, investigation follow-up, and monitoring corrective actions.

9. Manage Huabao’s retained samples, including recording, storage, and sample traceability.

10. Prepare documentation and support internal audits and external customer audits for Huabao, including following up on audit findings.

11. Monitor updates to food regulations and coordinate the necessary adjustments to documentation and processes with relevant departments.

Requirements

1. Bachelor’s degree in Food Technology, Chemistry, Pharmacy, or a related field.

2. At least 2–3 years of experience in product registration or regulatory affairs within the food, beverage, or food ingredients industry.

3. Hands-on experience with BPOM MD/ML registrations and food product label reviews.

4. Understanding of halal certification processes, Halal Product Assurance System (SJPH) documentation, and SMKPO requirements for processed food distribution facilities.

5. Ability to review and prepare raw material specifications, finished product specifications, COAs, MSDSs/SDSs, and regulatory statements.

6. Understanding of food safety principles, product traceability, retained sample management, and customer complaint handling.

7. Experience supporting internal and customer audits; knowledge of GMP, HACCP, or ISO 22000 is an advantage.

8. Detail-oriented and well-organized, with the ability to manage multiple registration processes and deadlines simultaneously.

9. Strong communication and coordination skills when working with regulatory authorities, suppliers, customers, and internal teams.

10. Proficiency in Microsoft Office and English for reviewing and preparing technical documents. Mandarin proficiency is an advantage.
