Operations Analyst, Supply Chain | Surabaya, East Java | Full-time

About the role

Haven Foods buys seafood from factories across the world and ships it to customers in the United States. The Surabaya operations team is the group that keeps the details straight: what shipped, what is late, what is sitting in the warehouse, and what the customer was promised.

We are hiring an Operations Analyst to do that work. You will keep our ERP accurate, follow purchase orders from production through arrival, push factories and forwarders when a date slips, process customer orders, and build the reports our US team reads in their morning.

This is a daytime role, eight hours a day minimum. The start time is flexible. Some days you will need to work later, up to 9pm, to overlap with US hours for meetings.

What you'll be doing

• Enter purchase orders, shipping documents, and inventory transactions into the ERP, then check them against what the factory and the warehouse actually sent

• Track inbound shipments from booking to arrival. Chase ETAs, packing lists, certificates, and anything missing from the file

• Work with factories, freight forwarders, and customs brokers by email and phone to hold production and sailing dates. Raise delays early, in writing, with what you have already tried

• Process customer sales orders and release them to the warehouse on time

• Keep inventory records clean. Investigate differences between the ERP, the warehouse report, and the customer portal, and fix the cause instead of the number

• Maintain customer and compliance portals: item setup, documents, artwork, supplier registration

• Coordinate sample shipments for new products and follow them to the door

• Build and maintain recurring reports in Excel and Power BI: inventory, open orders, inbound status, on-time delivery

• Join calls with the US team and answer their questions during the overlap

What we're looking for

• 2 to 5 years in operations, supply chain, logistics, or import and export. Food or seafood experience is a plus, not a requirement

• Professional written English. You will write directly to factories, forwarders, and US customers, and your email is the company in that thread

• Spoken English strong enough to join a call with the US team or a supplier and be understood without help

• Solid Excel. SQL or Power BI is a plus, or the willingness to learn both here

• Experience working inside an ERP or similar system

• Someone who checks their own work. A wrong case count or a wrong ETA becomes a wrong invoice, a short shipment, or an unhappy customer

• Follow-through. A large part of this job is noticing that nobody has replied in three days and doing something about it

• Able to work until 9pm on the days a US meeting requires it
