Under the direction of the Office Manager, and within the limits of established Aryaduta Hotel & Group Policies and Procedures, oversees and manages all aspects of the Executive Lounge operation at Graha Nobu Bank. Responsible for delivering personalized, discreet, and exceptional hospitality services to VVIP guests, bank executives, and authorized lounge users, while ensuring smooth daily operations and maintaining the highest standards of service, professionalism, and confidentiality.

MAIN RESPONSIBILITIES

What you will do:

Guest Service Management

  • Always greet and welcome guests promptly in a warm, courteous, and professional manner.

  • Provide personalized and attentive service to VIP guests, bank executives, and authorized lounge users.

  • Verify guest eligibility and access in accordance with established Executive Lounge and Graha Nobu Bank policies.

  • Anticipate guest needs and respond promptly, discreetly, and tactfully to requests and special arrangements.

  • Ensure guests receive efficient and personalized service throughout their lounge experience.

  • Maintain a professional appearance, positive attitude, and appropriate etiquette in all guest interactions.

  • Assist guests with seating arrangements, lounge facilities, refreshments, and other service-related requests.

  • Handle guest feedback and complaints professionally, escalating issues to the appropriate management when necessary.

  • Maintain guest confidentiality and exercise discretion when handling information related to VIP guests, bank executives, and business activities.

Executive Lounge Operations

  • Oversee the daily operations of the Executive Lounge, ensuring that all services run smoothly and efficiently.

  • Ensure the lounge is properly prepared before opening, including seating arrangements, table settings, amenities, and service stations.

  • Monitor the availability, presentation, replenishment, and quality of food, beverages, and other lounge amenities.

  • Coordinate with the kitchen and relevant Food & Beverage teams to ensure timely replenishment and consistent service quality.

  • Ensure that food and beverages are presented according to established hotel and Executive Lounge standards.

  • Monitor guest traffic and service requirements to ensure adequate operational coverage during peak periods and special occasions.

  • Maintain a clean, organized, comfortable, and welcoming lounge environment throughout the operating hours.

  • Coordinate with Graha Nobu Bank representatives regarding operational requirements, guest arrangements, and special service requests.

Food & Beverage Service

  • Maintain comprehensive knowledge of the food and beverage offerings available in the Executive Lounge.

  • Provide accurate information regarding menu items, ingredients, dietary requirements, and available refreshments.

  • Ensure that food and beverages are served according to established service and presentation standards.

  • Monitor buffet and refreshment stations to ensure proper display, cleanliness, freshness, and timely replenishment.

  • Ensure appropriate handling, storage, and presentation of food and beverages in compliance with food safety standards.

  • Coordinate with the kitchen and service teams to address menu-related inquiries, special dietary requests, and product availability.

  • Monitor consumption and stock levels of food, beverages, amenities, and operating supplies, reporting replenishment requirements to the superior.

Staff Supervision & Training

  • Ensure that hotel brand standards, Executive Lounge procedures, and applicable Graha Nobu Bank service requirements are consistently implemented.

  • Take an active role in coaching, training, and developing team members to maintain high standards of service.

  • Conduct daily briefings to communicate operational updates, guest requirements, service expectations, and special arrangements.

  • Assist with staff scheduling and deployment to ensure adequate coverage during busy periods and special events.

  • Monitor staff performance, grooming, discipline, and adherence to service standards.

  • Lead by example in delivering professional, discreet, and personalized hospitality services.

Coordination & Relationship Management

  • Establish effective communication and coordination with Graha Nobu Bank representatives to support the smooth operation of the Executive Lounge.

  • Work closely with the Front Office, Food & Beverage, Housekeeping, Engineering, Security, and other relevant departments to ensure seamless service delivery.

  • Coordinate with the bank's designated representatives regarding VIP visits, executive meetings, special events, and other lounge-related arrangements.

  • Ensure that special guest requests and service requirements are communicated clearly and followed up appropriately.

  • Maintain professional working relationships with bank personnel, hotel management, guests, and internal departments.

  • Ensure that all communication and service delivery are conducted with appropriate confidentiality and professionalism.

Health, Safety & Security Compliance

  • Maintain the cleanliness, hygiene, and overall presentation of the Executive Lounge, including furniture, service areas, equipment, tableware, and amenities.

  • Ensure that all food and beverage operations comply with applicable health, safety, hygiene, and food handling regulations.

  • Monitor compliance with established hotel and Executive Lounge safety procedures.

  • Report any maintenance issues, safety hazards, equipment malfunctions, or security concerns promptly to the relevant department.

  • Ensure that guest access, personal information, and lounge activities are handled in accordance with applicable confidentiality and security procedures.

Inventory & Administrative Support

  • Monitor and maintain adequate inventory levels of food, beverages, amenities, operating supplies, and service equipment.

  • Assist in conducting stock checks and inventory control to minimize wastage and ensure operational efficiency.

  • Maintain accurate records of operational activities, guest requests, stock usage, and other relevant reports as required.

  • Monitor and control operational expenses within the approved budget and established procedures.

  • Report operational issues, guest feedback, service incidents, and improvement opportunities to the Food & Beverage Manager or delegate.

Others

  • Achieve the monthly and annual Key Performance Indicators (KPIs) assigned, which will be outlined separately. KPIs may include, but are not limited to, targets related to guest satisfaction, service quality, productivity, operational efficiency, compliance, and contributions to team or departmental objectives.

  • Accept temporary or permanent transfers to another section, department, or Aryaduta property, as required by business needs and performance considerations.

  • Perform other duties and responsibilities as assigned by the superior, which are relevant to the role and support departmental or organizational objectives.

DNA

  • Minimum 3 years’ experience in Food & Beverage, Guest Relations, Executive Lounge, Club Lounge, or a related hospitality operation, with at least 1 year in a supervisory or team lead role within a 4- or 5-star hotel, premium hospitality environment, or upscale service establishment.

  • Previous experience in managing or supervising an Executive Lounge, VIP Lounge, Club Lounge, or corporate hospitality environment is preferred.

  • Demonstrated ability to deliver exceptional, personalized, and discreet guest service to VIP guests, executives, and high-profile clients.

  • Strong understanding of Food & Beverage operations, lounge service standards, food safety, hygiene, and hospitality best practices.

  • Skilled in coaching, motivating, and supervising a diverse team, conducting briefings, monitoring performance, and supporting staff development.

  • Strong interpersonal and communication skills, with the ability to coordinate effectively with hotel departments, bank representatives, and other stakeholders.

  • Ability to maintain confidentiality, discretion, and professionalism when handling sensitive guest information and corporate activities.

  • Strong organizational and problem-solving skills, with the ability to manage multiple guest requests and operational priorities efficiently.

  • Good command of English and Bahasa Indonesia, both written and spoken.

  • Proficient in using basic computer applications and relevant hotel or operational systems.

  • Service-oriented, detail-oriented, and capable of representing the professional image of Aryaduta Hotel Group and Graha Nobu Bank.
