About the Role

We are looking for a detail-oriented Import Documentation Staff to join our team at PT Exoduss International. In this full-time role based in West Jakarta, you will be responsible for handling import documentation, coordinating with shipping lines and port terminals, and ensuring the smooth processing of Delivery Orders (DO) and other import-related documents.

What you’ll be doing

  • Handle and verify import documents, including Bill of Lading (B/L), Sea Waybill, Commercial Invoice, Packing List, and other supporting documents.

  • Coordinate with shipping lines, shipping agents, and container depots regarding import documentation and Delivery Order (DO) release.

  • Process Delivery Orders (DO), including document submission, payment coordination, and DO release confirmation.

  • Access shipping line and terminal online portals to process e-DO, check shipment status, arrange payments, and download or print relevant documents.

  • Coordinate with the Customs Clearance team to monitor import shipment progress, including PIB submission and SPPB issuance.

  • Monitor vessel arrival schedules, shipment status, container availability, and document release timelines.

  • Prepare and maintain daily shipment tracking reports and import documentation records.

  • Coordinate with the Finance team to ensure freight charges and local charges are settled before DO release.

  • Liaise with the Operations team and field staff to ensure timely document processing and container collection.

  • Monitor shipping line free time and container return deadlines to help prevent demurrage and detention charges.

  • Ensure all import documents are accurate, complete, and properly filed.

  • Follow up with relevant parties to resolve documentation discrepancies and shipment delays.

What we’re looking for

  • Minimum high school or vocational school graduate (SMA/SMK), preferably in Office Administration, Management, or Accounting, or a Diploma (D3) in any field.

  • 1–2 years of experience in freight forwarding, shipping line operations, or import/export documentation.

  • Experience coordinating directly with shipping lines, shipping agents, or container depots is highly preferred.

  • Good understanding of the import process, from vessel arrival and customs clearance to Delivery Order (DO) release and container gate-out.

  • Familiarity with import documents, including Bill of Lading (B/L), Sea Waybill, Commercial Invoice, Packing List, PIB, SPPB, and DO authorization letters.

  • Familiarity with e-DO portals and online shipping line or port terminal systems, such as JICT, TPK Koja, and NPCT1, is an advantage.

  • Basic to intermediate proficiency in Microsoft Excel and Word for shipment tracking reports and document management.

  • Strong attention to detail, particularly when checking container numbers, B/L numbers, consignee details, and shipment documents.

  • Good communication and coordination skills when dealing with shipping lines, Finance, Operations, and field staff.

  • Able to manage priorities, work under pressure, and meet strict operational deadlines.

  • Proactive in following up on shipment documents and resolving operational issues.

  • Willing to be placed in West Jakarta.

What we offer

  • Competitive salary package.

  • Opportunity to grow in the logistics and freight forwarding industry.

  • Supportive and professional working environment.

  • Career development opportunities.
