Project Document Controller

About the role

Own the controlled flow, filing, traceability and retrieval of Infrastructure Delivery documentation. The role ensures that project teams and contractors work from the correct approved information and that complete project records are maintained from pre-construction through construction, close-out and handover.

Key responsibilities

• Maintain the Infrastructure master document register, including drawings, specifications, contracts, correspondence, approvals, inspection/test records, and handover documents.

• Control all incoming and outgoing documents, ensuring correct numbering, revision status, distribution, transmittals, and archiving.

• Ensure approved documents and drawings are accessible to relevant teams, while superseded versions are properly withdrawn and archived.

• Track submissions, approvals, overdue documents, and document-related risks, coordinating closely with the Project Controller, Civil CAD Drafter, and Engineering & Design team.

• Maintain handover and close-out records, including as-built drawings, warranties, inspection/test records, completion documents, and provide weekly document-control status updates.

About you

• Diploma or bachelor qualification in Administration, Engineering, Construction Management, Information Management or a related field.

• Minimum 3 years of document-control or project-administration experience in construction, engineering or property development.

• Strong competence with Microsoft Office and structured electronic filing/document-management systems.

• Experience maintaining drawing registers, transmittals, correspondence, contracts and revision-controlled documents.
